- Answer high volume switchboard and route calls to appropriate departments.
- Greet clients in friendly manner and announce guests.
- Authorize and distribute incoming packages.
- Maintain a log of incoming packages.
- Distribute incoming/outgoing mail; UPS, USPS, DHL, Fed Ex, etc.
- Prepare packages to mail to out-of-state-clubs.
- Ensure proper usage of DHL deliveries (i.e. sending within region etc).
- Load and unload dishwasher daily & maintain kitchen appearance.
- Coordinate messenger service as needed.
- Add postage to meter and coordinate service as needed.
- Maintain and distribute corporate office extension list.
- Coordinate receptionist relief coverage.
- Assure proper maintenance of office equipment; copiers, faxes, phones, etc.
- Work closely with building management regarding maintenance, repairs and emergencies.
- Coordinate office meetings as needed.
- Maintain conference room; appearance, scheduling, etc.
- Track executive travel and vacation.
- Assist with executive travel arrangements.
- Research effective cost saving measures for office needs.
- Assist with Human Resources projects as needed.
- Assist Human Resources with staff announcements.
- Follow all policies and procedures in Employee Handbook.
